Output documents

An output document is a file the process generates for a case, usually from a template filled with the case variables.

Fields

Field Rule
Title The name shown in the step and in the case document list
Description Optional context for other designers
Content The document body, written in the built-in editor or taken from a template
Output Document to Generate Both, Doc, or Pdf
PDF security Optional password protection (below)

The content editor is the modern one: formatting applied there is what the generated file contains, and it is saved with the document definition.

PDF security

Enabling PDF security requires both passwords:

Password Meaning
Opening password Asked of anyone who opens the file
Owner password Controls permissions such as printing or copying

Saving with the section enabled and a password empty is refused: the fields are required in that state. When you reopen the document for editing, the passwords are already set — they are not shown empty and you are not asked to type them again.

The security section stays inside the window instead of overflowing, and the fields keep their order.

Use it in a case

  1. Attach the document to a task with Steps.
  2. At run time the step generates the file with the case data.
  3. The person previews it, downloads it as PDF or Doc, and continues.

Navigating with Previous step and Next step runs the step triggers as usual, so variables and dependent documents stay in sync.

Generated files in the case

Generated documents appear grouped by task in the case, with format, pages, and size, and with a version history when the same document is generated more than once. See Document viewer.
