Task properties

Right-click a task on the canvas and choose Properties. The window uses the same style as the Admin panel, with a single primary button, and is organised in four tabs.

Tab Use it for
Definitions Name, description, and general behaviour of the task
Case labels The label and description of cases created at this task
Timing Control Due dates and time limits
Notifications Who is notified and what the message says

Working in the window

  • The Description field in Case labels resizes when you drag its corner.
  • Dropdowns (format, font, size) and the link dialog of the rich text editor open above the window instead of being clipped by it.
  • The template preview opens in a window titled Template preview.
  • With a narrow browser window the content scrolls; no field or button becomes unreachable.
  • Save, close, and reopen: the values you changed are still there.

Notifications

The Notifications tab decides whether the task sends an email when someone is assigned to it. It has two independent options:

Option When it fires
After routing notify the next assigned user(s) When the case moves on: the message goes to the assignee of the task it lands on. This is the older behaviour
Notify the assigned user to this task When this task is assigned, which also covers script tasks, loops and gateways. On the first task it only fires if a loop brings the case back

Both can be on. The case then sends two messages, at different moments.

Setting What it does
Email Account Which configured account sends the message
Sender Name The previous user's name, or the sender name of the email server
Subject Accepts variables through the @@ button
Plain text or HTML template The body, typed in the window or taken from a template

The body can be plain text or an email template.

Three things that surprise people:

  • Some mail servers refuse a sender address that differs from the real account; the message is then sent with the account's address.
  • A script task has no assignee, so it cannot send a task notification.
  • Inside a sub-process, the case number in the message is the master case's, not the sub-process case's.

Assignment rules

Right-click the task and choose Assignment rules.

  • View groups lists only groups; View users lists only users.
  • Users with a photo show it; users without a photo show their initials; groups show an icon.
  • Assign and remove a user and a group; each change is reflected in the list of assignees.
  • Paging is translated — it never shows Page / of in Spanish.
  • Assignments survive closing and reopening the window.

Steps

Right-click the task and choose Steps to decide which forms and documents the task shows.

  1. Drag a dynaform or an input document from Available to Assigned.
  2. Reorder the assigned steps; the order is kept after reopening.
  3. Open a step condition and write it by hand. Arrow keys, Backspace, and Delete work normally, and @@ inserts a process variable.
  4. Save the condition, close, and reopen: both the typed text and the inserted variable are kept.
  5. Edit on a dynaform step opens the dynaform editor.
  • Designer canvas — the toolbar, dock, and saving.
  • Gateways — routing rules and default flows.
  • Events — timers and messages.
  • Variables — the variables you reference in conditions.
  • Derivation — how the next task is chosen at run time.
